RingAssist is an AI-powered virtual receptionist built specifically for contractors and home service professionals. When a customer calls, the AI handles the entire conversation — collecting job details, checking real-time availability, and scheduling inspections — while the contractor stays focused on the job site.
We built the platform from the ground up: the voice AI agent, the real-time scheduling engine, the contractor dashboard, the customer portal, SMS notifications, calendar integration, and a subscription billing system. The result is a complete phone-to-job pipeline that runs autonomously.
The Challenge
Independent contractors and small trade businesses face a painful paradox: their best leads call while they're on the job. Hands covered in drywall or elbow-deep in a panel box, they can't answer the phone. And most customers won't leave a voicemail — they'll just call the next contractor on the list.

We built a full AI phone agent platform that replaces the need for a human receptionist. Customers call the contractor's dedicated RingAssist number, the AI handles the entire conversation, and the contractor gets a ready-to-review job on their dashboard.
How It Works
Customer Calls
A customer dials the contractor's dedicated RingAssist number. The AI answers instantly, 24/7. It detects whether the caller is new, returning, or has an active job — and routes to the appropriate conversation flow.
AI Collects Job Details
The AI gathers everything the contractor needs: name, phone, address, job description, and urgency. It then asks industry-specific triage questions — for example, an electrician's AI asks about panel amperage or active smoke, while a plumber's asks about leak severity and water heater age.
Schedule & Confirm
The AI checks the contractor's real-time availability — respecting inspection windows, blocked dates, existing jobs, synced calendar events, and minimum notice periods — and offers open slots to the customer. It also handles SMS consent for TCPA compliance.
Job Created & Notifications Sent
After the call, the system extracts structured data, creates a job record, sends the customer an SMS with a portal link for photos and confirmation, and notifies the contractor. The job appears on the dashboard ready for review.
Smart Caller Recognition
The AI doesn't treat every call the same. It recognizes returning customers by phone number and adapts the conversation accordingly — skipping redundant questions and referencing active jobs.
New Customer
Full data collection: name, phone, address, job description, urgency, preferred date, and SMS consent. Industry-specific triage questions asked based on the problem described.
Returning Customer
Greets by name, confirms address on file, skips name collection. Otherwise follows the same flow. Feels personal without wasting the customer's time.
Follow-Up Call
Recognizes the active job: "I see you have a Panel Upgrade on Friday." Handles status checks, rescheduling, questions, additional notes, or cancellation — no data collection needed.
The Platform
Contractors manage everything from a web dashboard. Jobs flow in automatically from calls, and the contractor reviews, accepts, or rejects them with a single click. The system also handles scheduling, client management, call recordings, and AI configuration.
